AI use: Ready for the regulator – where do we stand, and what is missing?
Short answer
AI use is the menu item for all your use of AI, with Inventory, Policy and Course right below it. At the top is Ready for the regulator, for example "4 of 6", and the button "Download report for the regulator". Under "Missing" are the less urgent tasks: the policy, the course, the annual review and the legal requirements you handle yourselves. Below that, "Where you stand" shows the six points. Points that need another plan are under "With an upgrade", and points that do not apply to you yet are not counted. Deadlines, fine ceilings and GoalCube's rule set are folded away under "Background, deadlines and shortcuts".
This is the real system with fictitious data. Try the walkthroughs in the articles to click through.
How the page is laid out
- Ready for the regulator at the top: one number, for example "4 of 6", and the button Download report for the regulator. See Report for the regulator and auditors.
- Missing: the tasks still needed to be ready for the regulator. Nothing is urgent today.
- Where you stand: the six points with a tick or a button.
- Background, deadlines and shortcuts, folded away at the bottom.
Right below AI use in the menu are Inventory, Policy and Course. See The menu.
Missing
Here you find the tasks that used to be under "When you have time" on Tasks:
- The policy, if it has not been created or adopted. See The AI policy.
- The course, if anyone who uses AI still needs to take it. See The AI literacy course.
- The annual review of the policy. See Annual review.
- Legal requirements you handle yourselves, for example informing employees. Many have a ready-made text: press Use the template. See Templates.
If you handle something outside GoalCube, press Mark as done, enter your initials and briefly how it was solved, for example "Email sent to everyone on 9 October". The note is included in the report for the regulator.
If the policy or the course is under "Missing", the same point under "Where you stand" has no extra button. That way there is only one button per task.
On Tasks there is just one line about it, for example "AI use: 4 of 6 ready for the regulator · 3 tasks when you have time". The link See what is missing takes you here.
Where you stand: six points
- All use of AI is recorded and assessed.
- The AI policy has been adopted.
- Those who use AI have taken the course.
- A person decides cases about people.
- Everything is saved as proof in the audit log.
- The real personal data stays in the EU when the AI uses it.
Every point that is missing has a short explanation and a button straight to what needs to be done. The title of each point leads to the page behind it, for example Inventory or Policy.
- With an upgrade: If you use AI on personal data or for decisions about people without the Personal data or Personal data + People decisions plan, the point appears here with a button to the plan. See Plans: free and paid.
- Not relevant yet: Points that do not apply to you, for example because you do not use AI for decisions about people. They are not counted, so nobody gets a tick for something that has not been done.
Background, deadlines and shortcuts
Folded away at the bottom:
- shortcuts to Templates, AI providers and the report for the regulator
- high-risk requirements that apply from 2 December 2027, and that you can meet now
- what GoalCube handles for you, for example the log and human decisions
- deadlines and fine ceilings; see them together in Deadlines and fine ceilings
- GoalCube's rule set with version and changes; see When GoalCube's rules change
The AI can also show where you stand: ask, for example, "Where do we stand with the AI Act?".
