The AI inventory: all your use of AI in one place
Short answer
The AI inventory is the list of everything you use AI for, such as "Summary of customer enquiries" or "Assessment of applicants". Each use has a risk level, which GoalCube works out with fixed rules, a status (waiting, confirmed or approved automatically) and the legal requirements that come with it. Most often the AI records the use itself; you can also record it directly at GoalCube.
In GoalCube, the inventory is called Inventory. You find it under AI use in the menu.

How do uses get into the inventory?
- The AI records it itself. If an employee asks the AI to do something with your data and the use has not been recorded, the AI records it from the task. Anything the AI is unsure about, it writes under "unclear" so you can correct it.
- You record it at GoalCube. Press Record new use in the inventory. See Record a use of AI.
Status
| Status | Means |
|---|---|
| Approved automatically | Low risk, approved under your rule. Look it over under "Review" on Tasks. |
| Waiting for confirmation | A person must confirm the use. The AI gets no data in the meantime. |
| Confirmed | A person has confirmed the use. Saved in the audit log. |
Why an inventory?
The law does not require an inventory as such. But the AI Act sets requirements that depend on what you use AI for (including Art. 4 and 26), and the inventory is the tool that sorts your uses so you can see which requirements apply. It is also the basis for your AI policy and the report for the regulator.
Datasets without a record
At the bottom of the inventory are datasets that no recorded use covers yet. If the AI uses a dataset without a record, it is logged as AI use without a record.
