AI in customer service: How to use AI on customer enquiries

AI in practiceLast updated 2 min read

Short answer

AI in customer service is typically minimal risk under the AI Act: sorting, summaries and draft replies. From 2 August 2026 a chatbot must show that it is an AI. GDPR applies in full: customers write names, addresses, order numbers and account numbers in their messages, and these shouldn't go to an AI outside the EU when the task can be done without them. If the AI rejects customers, for example over suspected fraud, a person must be able to review the case.

Atlantic Components Ltd renews automatically unless it is terminated by 31 October. It is important for an internal project, so renegotiate the price rather than terminate. Celtic Packaging Ltd also renews automatically; the deadline is 31 December.

Questions and answers

Can the AI reply to customers automatically?

Yes, with clear labelling. Replies that decide something for the customer should be open to review by a person.

What about customers who write sensitive things?

It happens. GoalCube hides the name, so the AI never sees a name together with, say, health details.
